Accounts Payable (AP) automation is the use of technology to streamline the tedious, manual process of creating payables in your ERP and completing three-way matching to determine if and when they should be paid. It typically involves technology that can read (“parse”) an invoice, lookup POs and Receipts in your ERP, and submit the invoice for payment with all the necessary information, including vendor details, at the appropriate time.
Instead of having to individually key in the information from each invoice and then find the corresponding PO and receipt, users can focus only on the exceptions, where there is a quantity or price mismatch between the invoice and what was ordered or received. Most invoices are auto-submitted as long as everything falls within your tolerance thresholds, and require no manual intervention.
More advanced AP automation tools can handle more than invoices, including expenses and vendor statements, as well as take payment terms into account, to help save money as well as time.
The most direct benefit of AP automation is time savings. By eliminating manual data entry and ERP lookup, invoice processing becomes much more efficient. Canals customers have cut manual intervention on invoices by up to 80%.
